Payment
• Full payment is preferred with registration; however, a deposit of $50 per session is required to hold a space. Payment in full is due 4 weeks before the start of each session, or the space and deposit will be forfeited and the space offered to girls on the waiting list. A late fee of $10 per session will be charged for all balances paid after the deadline. All deposits are non-refundable.

Camperships
Camperships, based on financial need, are available to registered, active Tarheel Triad Girl Scouts. Parents who need financial assistance should complete and return the Confidential General Campership Form and the Camp Registration Form with the required deposit. The campership application deadline is April 30. All information is confidential. If the campership grant plus deposit fall short of the session fee and parents immediately notify the council that they cannot pay the difference, the deposit paid will be refunded. Also, if applying for a campership but also paying the remainder of the fee by credit card, only the deposit or the amount indicated by the parents will be charged to the card before the campership is granted. After the council grants the campership and the parents accept it, then the remainder will be charged to their credit card.

Cookie Dough
If your daughter’s troop chooses an individual Cookie Dough option (Option B) and not the troop cash option (Option A), then you may apply the Cookie Dough your daughter earned to the fees for any of our GSTTC day or resident camp sessions. No deposit is required with registration if using Cookie Dough, and the amount awarded will cover these costs. If there is a difference in the amount of the Cookie Dough awarded and the session fees, the family must pay the balance. When Cookie Dough credit is higher than the camp fee, the difference
will be refunded with additional Cookie Dough being issued directly to your daughter; however, the balance may be applied to another session of camp if requested. Cookie Dough may be redeemable for all GSTTC summer camps; GSTTC council programs; Destinations; KPC Trading Post; GSTTC membership; GSTTC annual fund; and at the GSTTC Girl Scout Shop. Cookie Dough is not transferable and must be used by Sept. 30 immediately after the Girl Scout Cookie Program in which it was earned. (See your Cookie Dough certificates for more detailed information.) It is not necessary to wait for council certification of the Cookie Dough earned to register for camp. If you have concerns about your daughter’s Cookie Dough or cookie recognition option chosen, talk to your daughter’s troop cookie manager.

Cancellations/Transfers/Refunds:
• A full refund will be made for girls who cannot be placed in their 1st or 2nd choice indicated on their registration form and choose not to accept another session. Notify the council immediately.
• A full refund will be made if a camp session is canceled by the council.
• A full refund, less the non-refundable deposit, will be made for campers transferring from one session to another.
• A full refund, less the deposit amount, will be made upon written request when a cancellation is made four weeks before a session.
• A full refund, less the non-refundable deposit amount, will be made if cancellation is because of a camper’s illness. A doctor’s statement of camper’s inability to participate must be submitted with the parent’s written request. Submit refund requests before Sept. 1, 2008.
• No refund will be made within 4 weeks of the session except for medical reasons (see above), and no refund is given for campers who leave sessions early.

PROCESSING AND PLACEMENT

Confirmation
Each camper will receive a confirmation letter after she is placed in a session. Allow 2-3 weeks for processing. Camp Information Packets will arrive in the mail before the start of a confirmed session. A camper should open her Camp Information Packet immediately; it contains important materials. Keyauwee Resident Camp Information Packets include a “Parent Packet” with specific camp information and fee balance information. Day Camp Information Packets include important materials from the camp director, a map, and any balance information.

Unit Friend @ Resident Camp
If girls attending resident camp wish to be placed together as tent/cabin mates, both registrations MUST arrive at the council office in the same envelope. Girls who have requested a unit friend must specify each other as tent/cabin mates and be registered for the same program. Name only one friend per resident camp session. Both friends MUST list each other. Attempts will be made to honor all requests.

Special Needs
Every attempt is made to accommodate girls with special needs (dietary restrictions, physical and/or mental challenges, or medical needs). Call the camp contact person before registering to ensure that your child’s needs can be met. This is important to ensure that we have the facilities and staff that are needed.

Health & Safety

Girls will not be allowed to attend day or resident camps without a completed Summer Camp Health/Permission form. This form, along with any instructions, will be included with initial confirmation information, or you may obtain a form from the appropriate website.

• Medical exams performed by a licensed physician must be done within 24 months before the start of your camp session.
• A Health/Permission Form, along with any instructions will be included with initial confirmation information, or you may obtain a form below
• A physician is on-call during camp sessions, and a camp health supervisor is on-site to oversee immediate needs.
• Campers are covered by a supplemental insurance for accidents and sickness that may occur while participating in activities; pre-existing conditions are not covered.

A Summer Camp Health/Permission Form MUST be completed and submitted to the council office before the start of the session for which they are confirmed.

Parents must complete sections 1, 2 & 3 and the physician must complete and sign the medical exam section 4. Sections 1, 2 & 3 are required each year; however, the actual medical exam needs to be done within 24 months before the camp session.
